Weekly work.
Different rules.
Pay runs biweekly across 24 payroll entities, on staggered calendars. Some are due one week and the rest the next, so payroll preparation is weekly work.
Toast exports were assembled by hand in Excel. Tips were reconciled, earnings columns rebuilt and files prepared for ADP. Directors then needed reports for their own locations.
The locations did not share one rule set. Some carried card gratuity, some used cash tips only, and another supplied a bare CSV. A single generic template could not handle that reliably.
02 / The build
From source files
to checked exports.
I mapped the location rules, then built a web application around the actual preparation process. The operator uploads the source files and receives ADP-ready import files and a searchable report.
- Location-specific rules determine the required earnings columns.
- Employee naming differences are handled in the preparation workflow.
- A tip-credit validation report surfaces exceptions for human review before export.
- Directors can filter the report to their own locations.
The point is to move the routine work into a repeatable process while keeping the important decisions visible to the person running payroll.

Checks built in.
The published before-and-after estimate is approximately 25 hours of preparation per week reduced to about one. That is a measure of weekly effort across the staggered payroll schedule, not a claim that every entity is paid weekly.
The system brings three rule sets into one workflow and produces a validation report before files are written. The reported saving is specific to this implementation; a new engagement begins with its own workflow and baseline.
Built with R and Shiny, Toast exports and ADP import files.
